Today: lots of manual work.

  • Prospects read your product and pricing pages – and never get in touch.
  • Web analytics show page views, but not which company is behind them.
  • Sales only learns about the interest once the inquiry has gone to a competitor.
  1. Stats once a quarterThe web dashboard gets opened when a meeting asks for it by hand
  2. Who was that? GuessworkPage views without company names – just cities, times, click paths by hand
  3. CRM check: doesn't happenNobody checks if a visitor is already a customer – the CRM stays shut by hand
  4. Sales is in the darkNo alert, no context – the right call never happens by hand
  5. Notes? Only in someone's headVisits, topics and interest never show up in the CRM by hand

Example: Website visit WB-2026-0733 from Lindenhof Kunststofftechnik GmbH – waiting to be processed

Custom

Describe it, don’t code it.

This is how the XFLOWLY Agent builds the “Identify website visitors” flow – in conversation, tested with a sample document. Your rules, your systems.

Experience built in

Typical challenges – planned for from day one.

We know from experience what tends to go wrong with website visitor identification day to day. The flow catches it.

Content & discrepancies

Many visits turn out to be just an internet provider.

How the flow handles it

Provider networks, hosting and bots are filtered out – what’s left are visits you can attribute to companies.

What the flow covers

  • Attribute website visits to companies – at company level
  • Condense visited pages into topics and products
  • Check against the CRM: existing customer, open opportunity or new
  • Rate relevance by topic, frequency and target group
  • Send the responsible salesperson a heads-up with context
Practical example · IT services

2,500 company visits a month turn into around 40 concrete leads for sales.

  • IT services
  • IT systems integrator
  • ≈ 120 employees
  • 3 locations
  • ≈ 2,500 company visits per month
  1. 1Starting point

The website drew plenty of visitors, but sales only saw anonymous numbers in a monthly report. Which existing and target customers were currently interested in cloud or security topics remained unknown.

  2. 2Implementation

    • Visits are imported daily; ISP networks, hosting providers and bots are filtered out.
    • Identified companies are matched with HubSpot via domain, name and location, and visited pages are mapped to topics.
    • Only repeated interest in service and pricing pages creates an alert – sent to the owner listed in the CRM.
    • Sales decides: follow up, keep watching or dismiss; the decision is logged in the CRM.

  3. 3Outcome

    • ≈ 40leads per month with context for sales
    • Same dayinstead of in the monthly report
    • In the CRMevery lead with company, topics and history

Common questions about website visitor identification.

No. The flow works at company level: which company, which pages, which topic. Visits without an identifiable company aren't included in the alerts. Clarify tracking and consent on your website with your data protection team beforehand.

No. An alert is only created when your rules apply – such as repeat visits to product or pricing pages, a matching industry or an open sales opportunity. Everything else is bundled into the weekly overview.

Company identification delivers the company; domain matching and CRM matching assign it – including existing customer matching and a duplicate account check, so no account is created twice. ISP and bot filters weed out internet providers and bots, and visits from your own company are excluded. The flow merges several locations of the same company; a domain that cannot be assigned is left out.

Through visit qualification and lead scoring based on your rules: ICP fit (how well the company matches your ideal customer profile), product pages visited, visit frequency and whether someone comes back. If the company is on your target account list or there is already an opportunity, that is taken into account. You control include and exclude lists yourself.

Lead routing follows the account owner assignment in the CRM: if the account already exists, the lead goes to the person responsible; if there is an existing opportunity, to its owner. New companies go to sales according to your rules – with the pages visited as a conversation starter.

Not on its own. A page visit proves neither a specific person nor a definite need – it is one intent signal among several. That is why the flow works at company level, in account-based marketing as a pointer to target accounts, and respects your visitors' consent status.

That's exactly what the flow is built for. Every value it reads stays linked to the original document, and check rules match it against your ERP. Discrepancies, missing data or unclear matches create a task for the person responsible – with the document, the comparison and decision options. The case then continues right where it left off. Values that aren't in the document are never made up.

You decide: in the XFLOWLY Cloud on a dedicated virtual machine at Google Cloud in Frankfurt – or on your own server (on-premises) running Windows or Linux. Stored data is encrypted with AES-256, and credentials for your systems are additionally kept in a separate secret vault. You'll find all the details in the security factsheet on the platform page.

Easily: after a three-month minimum term, you can cancel XFLOWLY monthly with 14 days' notice. When your subscription ends, we provide a full export – documents, results and your flow definitions in machine-readable formats, available for 30 days at no extra cost. After that, your environment is deleted.
