Custom

Describe it, don’t code it.

This is how the XFLOWLY Agent builds the “Review tenders” flow – in conversation, tested with a sample document. Your rules, your systems.

Experience built in

Typical challenges – planned for from day one.

We know from experience what tends to go wrong with tenders day to day. The flow catches it.

Ownership & deadlines

The most important deadline is on page 47.

How the flow handles it

Submission, question and binding deadlines are collected from all documents – each with its source.

What the flow covers

  • Take in notices and tender documents from email, upload or a tender service
  • Extract scope, deadlines, eligibility and award criteria with source references
  • Check mandatory criteria and required proof against your records
  • Prepare a go/no-go brief with open points and risks
  • Log the decision, deadlines and tasks in the CRM
Practical example · Construction

Go/no-go on public tenders in one day instead of a week.

  • Construction
  • Building and civil engineering contractor
  • ≈ 520 employees
  • 3 branches
  • ≈ 80 tenders per month
  1. 1Starting point

Several procurement portals delivered dozens of relevant tenders every month. Estimators read tender documents running to hundreds of pages to find deadlines, qualification criteria and grounds for exclusion – often for bids that turned out to be out of the question.

  2. 2Implementation

    • New tenders from procurement portals and newsletters are imported with all their documents.
    • Deadlines, scope of work, qualification criteria and grounds for exclusion are extracted with source references.
    • Required evidence is matched against stored certificates and references – including validity.
    • The go/no-go brief goes to branch management; on “go”, the bid is kicked off in the CRM.

  3. 3Outcome

    • ≈ 70%of tenders are screened out as unsuitable – no reading required
    • ≈ 110 hrsless reading per month
    • 1 day instead of 1 weekto the go/no-go decision

Time saved calculated with 120 min of manual work per transaction before.

The flow prepares the decision and, on a go, kicks off the bid work: requirements, deadlines and required evidence are structured in the CRM. Your team owns the bid itself – costing and documents can be added as separate flows.

From whatever you already use today: email notifications from procurement platforms or tender services, downloaded documents as uploads, or direct invitations from contracting authorities. New documents for a procedure are assigned to the same case.

The flow reads the tender documents and checks the knock-out criteria first: if a mandatory criterion is not met, that is right at the top. Then come the bidder qualification check, the lot review and scope matching with your offering. Award criteria and their weighting are evaluated so you see what counts. You make the bid/no-bid decision – with all the facts at a glance.

The evidence check shows which documents are required and whether a reference is missing or evidence has expired. Deadline control covers the submission deadline, the deadline for bidder questions, the deadline for missing documents, the bid validity period and the award deadline. A changed submission deadline and other changes to the tender documents are compared and reported.

Yes. Contract terms are checked for deviations from your standards, and bidder information and contradictory line items are flagged. For alternative bids, the flow checks whether they are permitted at all. Before submission, a completeness check runs; bid approval stays with you. It does not replace a binding legal assessment under procurement law.

Yes. The flow reads bills of quantities in GAEB format including the bidder fields you need to fill in – and, for construction tenders in Austria, according to ÖNORM A 2063. The flow filters EU contract notices in eForms format by CPV code to match your services. It assesses selection and award criteria separately from technical compliance.

That's exactly what the flow is built for. Every value it reads stays linked to the original document, and check rules match it against your ERP. Discrepancies, missing data or unclear matches create a task for the person responsible – with the document, the comparison and decision options. The case then continues right where it left off. Values that aren't in the document are never made up.

You decide: in the XFLOWLY Cloud on a dedicated virtual machine at Google Cloud in Frankfurt – or on your own server (on-premises) running Windows or Linux. Stored data is encrypted with AES-256, and credentials for your systems are additionally kept in a separate secret vault. You'll find all the details in the security factsheet on the platform page.

Easily: after a three-month minimum term, you can cancel XFLOWLY monthly with 14 days' notice. When your subscription ends, we provide a full export – documents, results and your flow definitions in machine-readable formats, available for 30 days at no extra cost. After that, your environment is deleted.
