Today: lots of manual work.

  • Master data, bills of materials and routings are pieced together by hand.
  • Missing material only surfaces on the shop floor.
  • Orders are entered twice – in the ERP and in the MES.
  1. Demand by word of mouthSales calls: “This order has to ship by Friday!” by hand
  2. Print the bill of materialsBOM, routing and drawing printed and stapled by hand
  3. Checking the shelfMaterial counted on site, capacity estimated on the magnet board by hand
  4. Filling gaps by phoneDrawing missing? Call engineering, note it on the printout by hand
  5. Created twice: ERP and MESOrder entered in the ERP, again in the MES – job ticket printed by hand

Custom

Describe it, don’t code it.

This is how the XFLOWLY Agent builds the “Production orders” flow – in conversation, tested with a sample document. Your rules, your systems.

Your systems

Works with what you already have.

From SAP to the Excel sheet: XFLOWLY connects to your systems and replaces none of them. Highlighted are the ones typically involved in production orders.

Experience built in

Typical challenges – planned for from day one.

We know from experience what tends to go wrong with production orders day to day. The flow catches it.

Systems & master data

The bill of materials on the order is out of date.

How the flow handles it

Before the order is created, the flow checks that the released version is used.

What the flow covers

  • Start from a sales order, planned order or reorder point
  • Bring together the released bill of materials, routing, lot size and dates
  • Check material availability, capacity and tooling
  • Resolve missing parts, missing master data and approvals
  • Create the production order and hand it to the ERP or MES
Practical example · Plastics industry

Injection-molding production orders: created complete, with shortages known before the shift starts.

  • Plastics industry
  • Injection molder for technical parts
  • ≈ 230 employees
  • 2 plants
  • ≈ 900 production orders per month
  1. 1Starting point

Work preparation created production orders from ERP demand by hand and checked mold, machine and resin one by one. Shortages and molds already in use often surfaced only during the shift.

  2. 2Implementation

    • Approved demand from abas ERP is imported; bill of materials, routing and mold are added.
    • Material, mold and machine availability are checked against the warehouse and the MES.
    • Shortages and conflicts go to planning with a suggestion; rush orders are weighed against existing dates.
    • Complete orders are created and handed over to the MES.

Common questions about production orders.

No. The flow makes sure orders reach your ERP and MES complete and feasible – with master data, bill of materials, routing and material checked. Scheduling itself stays in your systems.

The order goes to Planning with the missing material flagged – with the choice to release it and reorder, or to move the date.

The order release check covers everything: BOM completeness and validity, routing matching, drawing and revision matching and inspection plan assignment. That way no order is released without complete documents. If the BOM does not match the revision or an operation is missing, the order goes back to process planning; a change needs change approval.

With data from your ERP or PPC system: the material availability check and missing parts check produce the missing parts list, material only in blocked stock is detected and the material reservation is triggered; for missing parts, the flow suggests approved alternative components. The availability of production resources and tools shows when a tool is not available, and a subcontracted operation that is not scheduled is caught. The capacity check, lot size and schedule matching use your planning – planning itself stays in your PPC or MRP system.

Yes. The flow compiles drawings, routing, inspection plan and BOM into the production folder or job traveler – in the right revision. Important: a complete production folder does not yet prove an executable production plan. That needs material and capacity data, which the flow checks separately.

Via shop floor data collection or MES: the production confirmation check compares operation confirmations and scrap reporting with the order and reports gaps. That keeps the release status of every order up to date.

That's exactly what the flow is built for. Every value it reads stays linked to the original document, and check rules match it against your ERP. Discrepancies, missing data or unclear matches create a task for the person responsible – with the document, the comparison and decision options. The case then continues right where it left off. Values that aren't in the document are never made up.

You decide: in the XFLOWLY Cloud on a dedicated virtual machine at Google Cloud in Frankfurt – or on your own server (on-premises) running Windows or Linux. Stored data is encrypted with AES-256, and credentials for your systems are additionally kept in a separate secret vault. You'll find all the details in the security factsheet on the platform page.

Easily: after a three-month minimum term, you can cancel XFLOWLY monthly with 14 days' notice. When your subscription ends, we provide a full export – documents, results and your flow definitions in machine-readable formats, available for 30 days at no extra cost. After that, your environment is deleted.
