Before → After · Calculate quotes

Today: lots of manual work.

  • Cost data comes from Excel, the ERP and supplier lists.
  • Every calculation depends on the one person who knows how it's done.
  • Large quotes go out without a proper approval.
  1. Inquiry printed outInquiry with “Please cost this!” dropped in the estimating tray by hand
  2. Prices from every cornerMaterial prices copied from ERP, supplier emails and old quotes by hand
  3. ‘Costing_final_v7.xlsx’Formulas only one person understands – markups by gut feeling by hand

Custom

Describe it, don’t code it.

This is how the XFLOWLY Agent builds the “Calculate quotes” flow – in conversation, tested with a sample document. Your rules, your systems.

Your systems

Works with what you already have.

From SAP to the Excel sheet: XFLOWLY connects to your systems and replaces none of them. Highlighted are the ones typically involved in quote costing.

Experience built in

Typical challenges – planned for from day one.

We know from experience what tends to go wrong with quote costing day to day. The flow catches it.

Systems & master data

The material prices in the system are out of date.

How the flow handles it

Costing uses the current purchase price – with a note if the data is old.

What the flow covers

  • Start from a qualified sales inquiry
  • Pull together material prices, production and setup times, subcontracted work and freight
  • Apply your costing scheme with overhead and profit markups
  • Surface missing data, margins below the minimum and risks
  • Prepare a costing for commercial approval
Practical example · Joinery & interior fit-out

Interior fit-out quotes – calculated with current material prices, approved by margin.

  • Joinery & interior fit-out
  • Commercial joinery for shop and interior fit-out
  • ≈ 110 employees
  • 1 workshop
  • ≈ 350 quotes per month
  1. 1Starting point

For shop fittings, hotels and offices, work preparation pulled together material prices, production times and installation effort from the ERP, Excel and past projects. Quotes took several days and were often based on outdated board prices.

  2. 2Implementation

    • Requests with plans and bills of quantities are imported; line items and special requests are recognized.
    • Current material prices come from Business Central, production and installation times from comparable projects.
    • Surcharges and minimum margin are applied according to the company’s rules; below an 18% margin, management decides.
    • The verified quote basis goes to sales – with reference projects and evidence for every line item.

  3. 3Outcome

    • ≈ 60%of quotes need no rework on the calculation
    • ≈ 160 hrsless manual work per month
    • 1 day instead of 4to a verifiable quote basis

Time saved calculated with 45 min of manual work per transaction before.

Yours: material prices from your ERP or supplier lists, times from routings, surcharges and discounts according to your costing rules. You describe the rules in plain language, and the flow applies them the same way every time.

If a quote exceeds your value limit or falls below the minimum margin, it goes to commercial approval. Everything else runs straight through.

According to your costing scheme, usually as overhead-rate costing: determine material requirements and match material prices, value production times with machine hour rate, setup time and scrap surcharge, add subcontracted work – through production costs and full costs to the price, in project business with risk and profit. Surcharge, markup and margin are clearly distinguished.

With lot size costing and setup time allocation: setup time is allocated per lot, not once across the total quantity. This produces the tiered price costing for different quantities. The flow compares several costing variants side by side – in-house production or subcontracting, for example.

Setup costs counted once instead of per lot, cutting waste not included, an outdated machine hour rate, a material price without surcharge or missing subcontracted work. The check of costing rates and costing validity runs with every quote.

Contribution margin accounting shows the contribution margin of each quote, the minimum margin check compares it with your target margin, and the price floor is never undercut without approval. If a discount falls below the target margin, the discount check kicks in. Price and costing approval follow your approval limits and overhead rates, and assumptions are documented. For configurable products, the flow works with your CPQ.

That's exactly what the flow is built for. Every value it reads stays linked to the original document, and check rules match it against your ERP. Discrepancies, missing data or unclear matches create a task for the person responsible – with the document, the comparison and decision options. The case then continues right where it left off. Values that aren't in the document are never made up.

You decide: in the XFLOWLY Cloud on a dedicated virtual machine at Google Cloud in Frankfurt – or on your own server (on-premises) running Windows or Linux. Stored data is encrypted with AES-256, and credentials for your systems are additionally kept in a separate secret vault. You'll find all the details in the security factsheet on the platform page.

Easily: after a three-month minimum term, you can cancel XFLOWLY monthly with 14 days' notice. When your subscription ends, we provide a full export – documents, results and your flow definitions in machine-readable formats, available for 30 days at no extra cost. After that, your environment is deleted.
