Today: lots of manual work.

  • Complaints come in through many channels – and incomplete.
  • Batch, delivery and warranty status take tedious research.
  • 8D deadlines get tight, and actions are poorly documented.
  1. Complaint by phoneNote on the pad: “Parts broken, customer angry, urgent!” by hand
  2. Delivery note? Check the archiveBatch, delivery and photos dug out of binders and email threads by hand
  3. How bad? Depends on the toneHow critical it is depends on how loud the caller gets by hand
  4. Crisis huddle at the whiteboardActions collected on the whiteboard – wiped off the next day by hand
  5. Closed in an Excel list‘Complaints_2026.xlsx’ – status: “done?”, question mark included by hand

Example: Complaint RK-0193 from Hartl Metallbau GmbH – waiting to be processed

Custom

Describe it, don’t code it.

This is how the XFLOWLY Agent builds the “Complaints” flow – in conversation, tested with a sample document. Your rules, your systems.

Your systems

Works with what you already have.

From SAP to the Excel sheet: XFLOWLY connects to your systems and replaces none of them. Highlighted are the ones typically involved in complaints.

Experience built in

Typical challenges – planned for from day one.

We know from experience what tends to go wrong with complaints day to day. The flow catches it.

Document & format

Photos, delivery note and emails sit in three different inboxes.

How the flow handles it

All documents are collected on the case – nothing gets stuck in an inbox.

What the flow covers

  • Log customer and supplier complaints as quality notifications
  • Capture item, batch, delivery, defect description and affected quantity
  • Coordinate containment, root cause analysis and the response – in 8D format, for example
  • Track corrective actions and effectiveness checks
  • Close the complaint with a complete history
Practical example · Automotive supplier

Customer complaints with 8D deadlines: captured, classified and tracked to closure.

  • Automotive supplier
  • Die-cast parts supplier
  • ≈ 650 employees
  • 2 plants
  • ≈ 120 complaints per month
  1. 1Starting point

Complaints from vehicle manufacturers and system suppliers arrived by email, portal and inspection report. Photos and measurement reports were scattered across inboxes; deadlines for containment actions and 8D reports regularly got tight.

  2. 2Implementation

    • Complaints are imported from email and customer portals; part, batch and defect pattern are recognized.
    • Photos, measurement reports and delivery data are gathered on the case; other deliveries from the same batch are flagged.
    • Quality assesses the impact and decides on actions; critical cases go straight to plant management.
    • Deadlines for the containment action and the 8D report are monitored and escalated in time.

  3. 3Outcome

    • ≈ 60%of capture and follow-up runs automatically
    • ≈ 55 hrsless manual work per month
    • < 24 hrsto the first response to the customer

Time saved calculated with 45 min of manual work per transaction before.

Yes. Item and batch are read from a photo, label or form and linked to deliveries and production data – including other affected shipments.

Always Quality. The flow prepares all the facts – warranty, impact, history – and documents the decision and actions.

The flow creates the 8D report and fills in what the data shows. The 8D completeness check shows what is missing: D4 needs both the occurrence root cause and the non-detection root cause – if the root cause is only assumed or the non-detection cause is missing, the step stays open. In D5 and D6, it tracks the corrective actions with an action owner. For root cause analysis, the flow prepares 5 Whys and Ishikawa with data from earlier cases; it sets up 8D deadlines per customer.

Delivery and batch matching finds which deliveries and batches may be affected; batch containment suggests where stock needs to be blocked. Immediate actions – containment, blocking suspect parts or a sorting action – are triggered and documented. If affected batches have not been narrowed down, the complaint stays open.

Yes. Defect pattern classification and systematic defect matching compare each complaint with earlier cases; repeat defect analysis shows when the same defect has occurred again. An action without proof of effectiveness stays open until the effectiveness check is done – a generated report is not yet proof. This fits into your CAPA system; supplier complaints feed into the PPM evaluation.

With an RMA: RMA matching assigns every return to the complaint, and a return without RMA is detected and clarified. Beforehand, the flow checks complaint eligibility, such as warranty and deadline. Reworked goods only go back into stock after release; complaint closure follows once all actions are done.

That's exactly what the flow is built for. Every value it reads stays linked to the original document, and check rules match it against your ERP. Discrepancies, missing data or unclear matches create a task for the person responsible – with the document, the comparison and decision options. The case then continues right where it left off. Values that aren't in the document are never made up.

You decide: in the XFLOWLY Cloud on a dedicated virtual machine at Google Cloud in Frankfurt – or on your own server (on-premises) running Windows or Linux. Stored data is encrypted with AES-256, and credentials for your systems are additionally kept in a separate secret vault. You'll find all the details in the security factsheet on the platform page.

Easily: after a three-month minimum term, you can cancel XFLOWLY monthly with 14 days' notice. When your subscription ends, we provide a full export – documents, results and your flow definitions in machine-readable formats, available for 30 days at no extra cost. After that, your environment is deleted.
